Skooldom

Skooldom features

Skooldom covers the student information system core — records, enrolment, attendance and results — and the wider school ERP around it: fees and payments, timetabling, staff, communication and reporting. Every module below is part of the product, not a roadmap item.

Student Information System

One record per student, from admission to graduation — profiles, guardians, class placement, documents and promotion history.

  • Admission and enrolment workflows
  • Class and stream placement per academic year
  • Guardian links and parent portal access
  • Promotion, transfer and alumni tracking
  • Soft-delete recycle bin with restore

Attendance Software

Mark a whole class in seconds, spot absence patterns early, and let parents know automatically the same day.

  • One-click daily marking by class
  • Automated absence notifications to guardians
  • Per-student and per-class trend reporting
  • Works offline — marks sync when the connection returns

School Fees & Finance

Build fee structures per class and term, track who has paid, chase what is outstanding, and reconcile without a spreadsheet.

  • Requirement-based fee structures per class and term
  • Online fee collection and receipting
  • Outstanding-balance and arrears reporting
  • Multi-currency, scoped per academic year
  • Automatic payment notifications to parents

Exams & Report Cards

Exam series, papers and marks entry that roll straight into a report card on one consistent grading ladder.

  • Exam series and paper scheduling
  • Subject-level marks entry by teachers
  • One configurable, percentage-banded grading system
  • Report card generation with ranking
  • Publish and unpublish results to parents and students

Assignments & Homework

Set work against a class and subject, mark it with feedback the student actually sees, and know who has handed in.

  • Assignments per class and subject, with a responsible teacher
  • Instructions and due dates students can see in their own portal
  • Grading with written feedback per student
  • Archive finished work without deleting the record

Timetable Management

Build the school timetable once and give every teacher, student and parent their own view of it.

  • Per-class and per-teacher timetables
  • Subject and teacher allocation
  • Student and parent timetable views
  • School calendar, terms and events

Academic Year Rollover

Close one academic year and open the next as one reviewed operation — promotions, enrolments and outstanding balances carried across together.

  • Promote a whole school in a single run, class by class
  • Enrolment belongs to a year, so last year's register stays last year's
  • Outstanding balances carried forward, converted at the rate on record
  • Reversible — a run can be rolled back if it was wrong
  • Full history of every transition, with counts and timings

Messaging & Announcements

Reach one parent, one class or the whole school, and have it arrive as a notification rather than a rumour at the gate.

  • Direct messages between staff, parents and students
  • School-wide and class-level announcements
  • Web push, in-app and email delivery
  • Notifications deep-link to the right screen for that person's role
  • Delivery and read state, so you know it landed

Meetings & Video Calls

Schedule a parents' evening or a staff briefing, invite exactly the right people, and hold the call without buying a separate meeting licence.

  • Video rooms built into the app
  • Invite by role, by class or by individual
  • RSVP tracking and reminders before the meeting
  • Recurring meetings for standing commitments
  • Join links that respect who is allowed in the room

Parent & Student Portal

Parents see attendance, results and fee balances for their own children — and stop phoning the office to ask.

  • Guardian accounts linked to their own students only
  • Results, attendance and fee visibility
  • Announcements and direct messaging
  • Push and email notifications
  • Self sign-up with school approval

Discipline & Incidents

A dated, attributable record of what happened, who was involved and what was done about it — instead of a memory and a note in a drawer.

  • Incident logging with category and severity
  • Actions taken, with follow-up status
  • Behaviour history per student
  • Detail stays with the staff who need it, not the whole school

Staff Records & Leave

Teacher and staff records in one place, with leave requests that get approved on the record rather than lost in a WhatsApp thread.

  • Staff profiles, departments, qualifications and contact details
  • Subject and class allocation per teacher
  • Leave requests with an approval trail
  • Leave status visible to the person who asked and the person who decides

Cafeteria Menu

Publish what the kitchen is actually serving, and change it the moment something runs out.

  • Menu items with descriptions and pricing
  • Mark items available or unavailable as stock changes
  • Searchable menu for staff and families

School Website Builder

A public website for the school, edited from the same admin as everything else — so the term dates on the website are the term dates in the system.

  • Editable pages, sections and media, no developer required
  • News, events and staff profiles drawn from the school's own records
  • Admissions enquiries captured straight into the school
  • Custom domain with verification

Ask Skooldom — AI Assistant

Ask a question in plain English and get an answer from your school's own records — not from the internet, and not from guesswork.

  • Every figure comes from a live lookup, never from memory
  • Scoped to what the person asking is allowed to see, enforced in the database
  • Read-only — it can look things up, it can never change them
  • Knows the classes you teach, the page you are on and the active year
  • Your conversation is kept until you delete it, one exchange at a time

Roles, Access & Audit

Six built-in roles with scoped access, enforced in the database rather than hidden in the interface.

  • Six roles: super admin, admin, bursar, teacher, parent, student
  • Row-level security enforced per organisation
  • Complete data isolation between schools
  • Full audit trail of who changed what
  • Email invitations and access revocation

Multi-School & Analytics

Run a group of schools from one account, with isolated data per school and analytics across all of them.

  • Unlimited schools under one account
  • Strict data isolation per school
  • Cross-school analytics and reporting
  • Exports for board and ministry reporting

Works Offline

An installable app that keeps working when the internet does not — registers, class lists and balances stay readable, and writes sync on reconnect.

  • Installable on phone, tablet and desktop
  • Class lists and registers readable offline
  • Queued writes that sync when connectivity returns
  • Honest offline state — never a silently stale screen

Frequently asked questions

Is Skooldom a school ERP or a student information system?

Both. Skooldom covers the student information system core — student records, enrolment, attendance and results — and the wider school ERP functions around it, including fee management, payments, staff records, timetabling and reporting.

Can teachers enter marks themselves?

Yes. Teachers enter marks for their own subjects and classes. Those marks roll into report cards on the school's single configured grading ladder, and administrators can see the full audit trail of every change.

Does Skooldom send notifications to parents?

Yes. Skooldom sends push and email notifications for absences, payments, announcements and messages. Parents receive them for their own children only.

Can we import our existing student data?

Yes. Students can be imported in bulk by class, and each record carries admission details, guardian links and class placement for the academic year.

What happens at the end of an academic year?

Skooldom rolls the school into the next academic year: students are promoted class by class, enrolments are created for the new year, and the previous year's records stay intact and readable as history.
